Privacy Policy

ClassToolsPH ("we," "us," or "the platform") is an online exam and assessment management system built for teachers of the Department of Education (DepEd) in the Philippines. This Privacy Policy explains what personal information we collect, why we collect it, how it is used, and the choices you have. It applies to every account on the platform: administrators, teachers, and students.

Information We Collect

• Teacher and administrator accounts: full name, employee ID, email address, gender, teaching position, and school (including DepEd School ID).
• Student accounts: full name, section and grade level, and exam scores or results. Student accounts are created and managed by a teacher or school administrator, not through self-registration.
• Usage data: activity logs (for example, sign-ins and question bank changes) kept for security and troubleshooting.
• Payment information (paid plans only): payment is processed entirely by PayMongo, our payment processor. We never see or store your card, GCash, or Maya account details; we only receive confirmation that a payment succeeded, along with the amount and plan purchased.

How We Use Your Information

We use the information above only to operate the platform: creating and managing accounts, running exams, generating reports (Scores, MPS, MPL, Item Analysis), enforcing subscription plan limits, and sending account-related email (registration confirmation, approval, password resets) through our email provider, Brevo.

We do not sell personal information to third parties, and we do not use it for advertising.

Who We Share Information With

• PayMongo – processes payments for paid subscription plans.
• Brevo – sends transactional email on our behalf (registration, approval, password reset).
• Your own school – teachers and administrators at the same school can see shared sections and students as part of normal platform use; this is not sharing outside the platform.

We do not share personal information with any other outside party except where required by law.

Students and Minors

Many students using this platform are minors. Student accounts are created by a teacher or school administrator as part of normal school enrollment, not by the student directly, and we collect only the information needed to run exams and produce results (name, section, scores). If you are a parent or guardian with questions about a student's data on this platform, please contact your child's school or our site administrator.

Data Retention

We keep account and exam data for as long as the account is active, plus a reasonable period afterward for record-keeping (for example, exam history and audit trails). A deleted account's employee ID and email are freed for reuse, but historical records tied to that account, such as past exam results, are kept for continuity.

Your Rights

You can ask to access, correct, or request deletion of your personal information by contacting our site administrator. Some information, such as historical exam records, may need to be retained for legitimate record-keeping even after a request.

Security

We apply reasonable technical safeguards, including password hashing and access controls, to protect your information. No system is completely secure, and we encourage using a strong, unique password on your account.

Cookies

The platform uses only essential cookies needed to keep you signed in and to remember your dark or light mode preference. We do not use tracking or advertising cookies.

Changes to This Policy

We may update this policy as the platform changes. The "Last updated" date at the top reflects the most recent revision.
